Judging/Coordinator Application

 

EPIC has an obligation to protect the corporation, the EPIC Award Contest, and the judges of that contest. All information provided on this form will remain confidential, used only by the EPIC Award Chair, at her/his discretion.  

EPIC Awards Judges are authors or industry professionals. At least one EPIC member MUST be included on each panel. There are two rounds of judging:

  1. The FIRST ROUND will be an accrual of scores from three judges, with the top FIVE highest scores moving to the FINALIST ROUND.

  2. The FINALIST ROUND will be a rating of the finalist entries from highest to lowest (5 being highest, 1 being lowest).

 

ONLY judges who participated in the FIRST Round will be eligible for participation in the FINALIST ROUND. Guest judges, all of whom are either published authors or industry professionals, are used ONLY as deemed necessary by the EPIC Award Committee/Chair. 

Judging schedule:

FIRST ROUND Judging Entries go out

October 6th through 10th,2008

If you are unable to judge any entry you must notify your Category Coordinator

BEFORE October 15th

FIRST ROUND SCORES must be received by

November 22nd

FINAL ROUND Judging Entries go out

November 28th through December 2nd

FINAL ROUND Judging starts

December 3th through December 22nd, 2008

FINAL SCORES must be received by

December 24th

BASIC RULES

NOTE: Submitting this application certifies that you have read, understood and will comply with the following basic rules. If you have any reservations regarding them, contact the EPIC Award Chair before submitting.

  • If you enter a work in a category (author/editor/publisher), you may not judge that category.

  • If your publisher/editor enters an anthology containing any of your works, you may not judge that category.

  • If you are assigned an entry you have edited, you must notify your Category Coordinator IMMEDIATELY for a reassignment.

  • If you are assigned an entry you have published, you must notify your Category Coordinator IMMEDIATELY for a reassignment.

  • Discussions between judges and/or coordinators regarding entries and/or confidential discussions from the EPIC Award Contest Yahoo Group is unacceptable.

Violators will be banned from future judging/coordinating, and could result in disqualification of the violator’s submission(s) depending on the nature of the violation and the degree of contest compromise.

 

 


CATEGORY SELECTION

Place a check mark in each category you are willing to judge. Your preferences will be considered during judge assignment; however, DO NOT select any category in which you have a submission (see basic rules above). In addition, if you have any reservations about reading material containing explicit sex, do not select any categories that may contain such material. Erotic categories are coded in red below; however, any romance books may contain a degree of explicit material. Please review the full category descriptions on the EPIC website if you are in doubt as to the content of any category.

As a 1st Round Judge, you will be required to:

  • Return your scores via e-mail, without any attachments other than a consolidated score sheet, to your coordinator. A sample score sheet will be included in this packet.

Are you interested in judging the Finalist round? (Note: No one will be permitted to judge the Finalist round unless they participated in the initial round, as well. The Finalist round is quick and there is no time to train new judges. In addition, Finalist Round Judges do NOT choose their categories and/or number of entries) YES NO

  • There will be no choices on categories. This is a FINAL ROUND and all entries must be judged

  • Score your entries from one to five, with FIVE being the HIGHEST SCORE

  • Return your scored list via e-mail, without any attachments other than your scored list, to your coordinator

CATEGORY COORDINATOR

Judge Coordinators must agree to participate in both judging rounds of EPIC’s annual EPIC Award Contest to maintain continuity. They will report directly to EPIC’s EPIC Award Contest Judging Coordinator, Will Wilcox.

 

As an EPIC Award Judge Coordinator, you will be required to:

  • Allocate specific category entries to assigned judges

  • Send forms and entries (in PDF Formats), and receive forms via e-mail attachments.

  • Follow up with judges, keeping EPIC Award Chairperson informed of any issues regarding distribution and return of entries.

  • Compile and record scores

  • Act as backup to other category coordinators and judges, if needed

  • Follow the Coordinator Guidelines.
