Rules

EPPIE and QUASAR AwardsPlease read these rules in their entirety before entering. Questions may be directed to Anita Gunnufson, anitag@cableone.net or Carol MacLeod xoddity@cox.net.

Eligibility: Any eBook published in English and released for sale between October 1, 2004 and September 30, 2005, including self- and subsidy-published books are welcomed for entry in the 2006 EPPIES.

Books previously published in paper may be entered, if the eBook version meets requirements of publication date and entry format. Re-released books, which qualify with the new publisher per the time-frame given above, are eligible, provided they have not been entered in the EPPIE in a previous year. This includes books which are updated, such as yearbooks, guides, etc.

There is no limit on how many different titles in the same or different categories may be entered by a single entrant. However, a separate entry form and entry fee is required for each title.

Only electronic copies will be accepted in either HTML or PDF formats. If you submit a PDF file, it cannot be passworded. Contact Anita Gunnufson, anitag@cableone.net or Carol MacLeod xoddity@cox.net about other versions for guidance. EPIC reserves the right to refuse other formats, but every effort will be made to work with the entrant to facilitate entry.

Formatting errors, especially if they occur with high frequency, may result in a lower score. Take the time to check your entries before emailing, especially if you have converted the file to HTML from another format.

Entry Fees

  • $20.00 per eBook for EPIC members in good standing (your dues must be current—click here to verify). Note: the AUTHOR or one of the CO-AUTHORs of the book must be an EPIC member to receive the discount. In the case of an anthology, at least one of the authors must be an EPIC member.
  • $30.00 per eBook for non-EPIC members. (where the AUTHOR is not a member of EPIC).

A separate entry fee is required for each title entered. In case a category is canceled due to too few entries, the coordinator will contact the entrant for placement in another category. If no other category is acceptable to the entrant, fees will be returned and the coordinator will discard the entry.



Entering Your Book

Entries may be made by either author or publisher. Please check with your publisher before you enter to prevent duplication of entries.

There are 3 steps to the entry.

  1. STEP 1. Complete the Entry Form (below)
  2. STEP 2. Make Payment of Entry Fees
  3. STEP 3. Submit Your eBook

These 3 steps are explained below.



STEP 1. You must fill in the Entry Form below and click the SUBMIT button. This can be done prior to sending in your payment. A page will be posted to the website that tracks application forms received, payments received, and eBooks received. Once it is posted, you will need to check that sheet to verify that all of your steps have been completed and logged.



STEP 2. To Make Payment of Entry Fees, you may use Option 1—US Postal Service, Option 2—PayPal, or Option 3—Paystone.


Option 1—US Postal Service (USPS): Mail a check or money order ($20.00 per book for EPIC Members, $30.00 per book for Non-EPIC Members) in U.S. dollar funds made out to "EPIC" to:

Until your entry fee has been paid, your entry is not complete. Failure to pay the entry fee by entry deadline will disqualify your entry. If you have problems with payment, please contact treasurer@epicauthors.com for assistance in making your credit card payment.



STEP 3. You must mail your eBook as an attachment.

NOTE: IF YOU ARE ENTERING MULTIPLE EBOOKS YOU MUST SEND EACH EBOOK IN A SEPARATE EMAIL. DO NOT SEND MULTIPLE EBOOK ATTACHMENTS IN THE SAME EMAIL.

You must include the following information along with your eBook.

  1. You must put EPPIE-BookName in the subject line.

    Example: EPPIE-Gone With The Wind
  2. In the body of the email, include:

  3. Author's Name (include all authors)
  4. Author's Email Address
  5. Publisher's Name (ONLY IF PUBLISHER IS SUBMITTING IT FOR THE AUTHOR)
  6. Category for the book

All entries this year will be sent to the one email address listed above and must be received no later than October 8, 2005, at Midnight EST.. Entries received after that date will be refused and returned to the sender. Judging will begin on October 22, 2005. The final responsibility for making sure the entry is complete rests with the entrant. Be sure to check the EPPIE Entry Log (coming) to see if your entry is complete. Your entry will only be complete when 1) we have received your entry form, 2) we have received your entry payment, and 3) we have received your eBook.

Novellas may be entered; however, there is no specific novella category. The novella should be entered into the category where it would fit were it a novel. It will be judged according to the same criteria as novels in that category. The fee and entry requirements for a novella are the same as those for a novel. If the novella appears as part of an anthology, the entire anthology may be included as the entry, or the entrant may send only the novella. Copyright date MUST appear at the beginning of the file in either case.

A novella which is part of an anthology entered in the anthology category, may also be entered on its own in the appropriate category. Entry form, fee, and a separate copy should be entered as described above.

Note: Since eBooks often cross genres, push the envelope, and may not fit neatly into a single genre, it is the author's responsibility to select the proper category for his or her work. For example, if you think your book, which the publisher listed under romance, would best fit in the fantasy category, feel free to enter it there. A book may not be entered in more than one category, but an entrant may enter more than one title in a single category, as well as entering several titles in different categories.

Be aware when selecting a category for your book, judging is subjective. A romantic fantasy may be too much romance for fantasy judges. Your fantasy romance may not have enough romance for romance judges. So, select wisely. EPIC is not responsible for placing your book in a category, nor for informing you that your book would be better placed elsewhere.



EPPIES Entry List

All EPPIE entries will be posted here. Please check to ensure that your information is correct and that everything has been received. Please allow up to 48 hours after submitting before your entry, payment, or book is posted on the list.



Announcing Finalists and Winners

Finalists will be informed by email before the public announcement by mid-December 2005.

Winners will be announced at EPICon-2006 in San Antonio, TX, March 18, 2006. See EPICon 2006 for more information.

EPPIE trophies will be awarded to those winners in attendance. Winners who are not present will receive their trophies by USPS or other shipment method.

Finalists in the 2006 EPPIES will receive official certificates mailed to them prior to EPICon 2006.
